Welcome to the Epic Media Terms and Conditions. These terms govern the provision of all wedding film and photography services offered by Epic Media (referred to as “we,” “us,” or “our”) to you, the client (referred to as “you” or “the client”). By booking our services, paying a deposit, or otherwise engaging with us, you acknowledge that you have read, understood, and agree to be bound by these Terms and Conditions. Our aim is to ensure Clarity, Fairness, and Mutual Respect throughout our engagement, setting clear expectations for both parties.
Booking & Payment
Securing Your Date: Deposits & Payment Schedules
Booking Confirmation: Your wedding date is officially reserved upon our receipt of a signed contract and a non-refundable booking fee/deposit, as specified in your personalised quotation.
Payment Schedule: The remaining balance is typically due in agreed instalments, with the final payment required a specified number of weeks/days before your wedding date. Specific payment dates and amounts will be detailed in your invoice.
Late Payments: We reserve the right to charge interest on overdue payments and may withhold services or final products until full payment is received.
Cancellations: In the event of client cancellation, the booking fee is non-refundable. Further cancellation charges may apply depending on the notice period provided, as detailed in your contract.
All financial transactions will be conducted with Transparency, Accuracy, and Professionalism.
Service Delivery & Responsibilities
Our Services: Scope, Delivery & Your Role
Our Responsibilities: We commit to providing professional wedding film and photography services as agreed in your contract, utilising our expertise and equipment to capture your day with the highest artistic and technical standards. We will deliver your final products (films, photographs, albums) within the agreed timeframe.
Client Responsibilities: You agree to provide us with timely access to venues, clear communication regarding your schedule and preferences, and accurate contact details for relevant parties (e.g., wedding planner). You are responsible for obtaining any necessary permissions for photography/filming at your chosen venues.
Creative Licence: You grant Epic Media full creative licence in the choice of shots, compositions, editing style, and music selection (for films), ensuring a cohesive and artistic final product.
We operate with Dedication, Discretion, and Diligence on your special day.
Post-Production, Copyright & Usage
Post-Production, Copyright & Usage Rights.
Post-Production: Our standard turnaround time for final delivery will be specified in your contract. While we strive for efficiency, quality is paramount.
Copyright: Epic Media retains the copyright to all photographic images and film footage.
Client Usage: You are granted a personal, non-exclusive, non-transferable licence to reproduce, display, and share the final images and films for personal, non-commercial use.
Epic Media Usage: We reserve the right to use selected images and film clips for our portfolio, website, social media, marketing materials, and competitions, unless a specific non-disclosure agreement has been signed.
Intellectual Property: All raw files and unedited footage remain the sole property of Epic Media.
We respect your privacy while ensuring our ability to Showcase, Promote, and Refine our artistry.
